Student Groups

Groups are the central way for working with sets of students. Your role in Advising controls whether you can create groups or access the ones shared across your SSU. 

From the Student Groups tab, you can find and work with groups:

  • Find a group you need (searches check group names only)
  • Narrow the groups by academic area and type 
  • Message the students in the group with a text or email, personalized with their names
  • Download and share the student list for these students
  • Add, edit, and delete your own custom groups 

Group Types β€”There are two ways groups can be created: 

  1. Dynamic β€” these are system-generated and maintained, via criteria on student data
    • Example: Filters that find high-GPA students who are Inactive and not enrolled next term
  2. Static β€” these are populated and maintained manually for a special purpose
    • Example: Students participating in the University Exchange Program

Sharing Groups β€” If you are a Director or an Advisor+ role, you can share groups with your team by toggling the lock πŸ”’icon (from black/locked to green/shared). The team can then edit, use, and message the students in that shared group.

Star Your Groups β€” Click the star ⭐ icon on a group for quick access via Student Group Type > Favorites.

Dynamic Groups 

A dynamic group is populated and updated by the system, based on criteria that you select.

  1. From either tab on the Students page, select Create Group
  2. Click Dynamic Group
  3. Name your group, including ample detail for you to identify and search for it among many groups.
  4. Choose your criteria.
    1. Where you see a plus (+) sign, click it to select (changes to a green  βœ” checkmark).
      This only adds the column to the display; click it again to remove it.
    2. To filter on that column (resulting in fewer results), select one or more of the options:
  5. Click Create to finish.

When you click Create, the system will populate your group according to the options you chose.

After you create a dynamic group, you can manage it by clicking its title, which opens its Group Details:

  • Action > Edit Group Criteria β€” opens the filters for you to change and Update
  • Action > Save Column/Filters β€” prompts you to confirm your changes to columns/filters and Save
  • Action > Assign Advisors β€” lets you search for advisors to assign to the students you selected
  • Delete Group
    • Important: Students lose access to any Library resources shared with a deleted group.
  • Download student list β€” generates an XLSX file you can open in Excel or Google Sheets
    • Tip: Your downloads remain stored for future access in the header above, under Downloads. Clear (delete) any you don’t need to keep.
  • Email group students β€” lets you message the students you selected

Static Groups

A static group is built and maintained by you manually, and it is never altered by the system.

  1. From either tab on the Students page, select Create Group
  2. Click Static Group
  3. Name your group, including ample detail for you to identify and search for it among many groups.
  4. Populate the group (you can always add and remove students later):
    • Create from selected students adds those currently selected in the student list.
    • Create from uploaded students imports students from a .CSV file, which has student IDs (one per line). Any invalid IDs are skipped and reported in the success message.
  5. Choose your columns (removing and/or adding any columns you want to see).
  6. Click Create to finish.

When you click Create a static group, you can manage it by clicking its title, which opens its Group Details:

  • Action > Add to Group β€” search for students to add to the group; allow time for them to display
  • Action > Remove from Group β€” removes the selected students; allow time for them to clear
    • Important: Once removed, they lose access to any Library resources shared with the group.
  • Action > Create New Group β€” lets you put selected students into a new or existing static group
  • Action > Save Column/Filters β€” prompts you to confirm your changes to columns/filters and Save
  • Action > Assign Advisors β€” lets you search for advisors to assign to the students you selected
  • Delete Group
    • Important: Students lose access to any Library resources shared with a deleted group.
  • Download student list β€” generates an XLSX file you can open in Excel or Google Sheets
