Helping Students Schedule

To help your advising students get through scheduling quickly and successfully, you can intervene on behalf of a student or a group. 

Get access — Contact your team lead or Scheduling Admin if you don’t yet have an account with permissions to these registration tools.

Important: The following actions are for scheduling assistance only. These methods do not register a student, because registering involves financial and other commitments that cannot be made for another.

Saving Favorites for a Student

Access: This requires you to be granted specific permissions by a Scheduling Admin.

Using the Favorites feature is an efficient way to give a student several schedules to consider:

  1. Log into Scheduling’s Administration portal.
  2. Under Registration Tools, select Schedule Planner Login.
    If you do not see this option, contact your team lead.
  3. Under Schedule Planner Login, select A Specific Student, and enter their student ID.
  4. To schedule on behalf of your student, select the campus option they need, and then follow the steps that students use to build a schedule:
    1. Set the entry filters, such as campus, term, and group. 
    2. Add the needed courses from their degree plan, or search for each course by subject, attribute, instructor, etc.
    3. Define any breaks and course padding needed by this student.
    4. Generate schedules and refine the filters, breaks, and courses as needed to get good candidates.
  5. Select the Favorites (heart ♥ icon) to save one or more of these schedules.
  6. Contact the student and ask them to log in and review the schedules you stored under Favorites.

Pre-loading a Student’s Cart

Access: This requires you to be granted specific permissions by a Scheduling Admin.

Using the Shopping Cart feature lets you advance the student all the way to readiness to register:

  1. Log into Scheduling’s Administration portal.
  2. Under Registration Tools, select Schedule Planner Login.
    If you do not see this option, contact your team lead.
  3. Under Schedule Planner Login, select A Specific Student, and enter their student ID.
  4. To schedule on behalf of your student, select the campus option they need, and then follow the steps that students use to build a schedule:
    1. Set the entry filters, such as campus, term, and group. 
    2. Add the needed courses from their degree plan, or search for each course by subject, attribute, instructor, etc.
    3. Define any breaks and course padding needed by this student.
    4. Generate schedules and refine the filters, breaks, and courses as needed to get good candidates.
  5. Choose a schedule that works best for the student.
  6. Send the preferred schedule to the shopping cart, so that it’s ready for registration.
  7. Contact the student and ask them to log in, verify your selections, and complete registration for the classes that you put in their cart. 

Important: Placing courses in the Shopping Cart does not complete registration or reserve them space in those sections.

Pre-loading Courses for a Student List

Access: This requires you to be granted specific permissions by a Scheduling Admin.

You can help a cohort of students who have shared needs to schedule in sync with each other. This can be as limited as pushing a shared break (such as for study halls, practices, or shared lunches) or as comprehensive as a set of required courses (such as for program members who need to follow a prescribed path). 

  1. Verify the set of student IDs that you need to preload. 
  2. In a text editor, paste the student IDs of your group, one per line, and save the file with the extension .CSV.
  3. Log into Scheduling’s Administration portal.
  4. Under Registration Tools, select Schedule Planner Pre-Loader.
    If you do not see this option, contact your team lead.
  5. Select the Start New button, which will open the wizard that will guide your preload setup.
  6. For Courses, select the Term and add one or more courses, flagging any that are Required (students won’t be able to delete them). If you only want to define breaks, skip this and choose Next.
  7. For Breaks, add one or more reserved time blocks as needed by this group. (They will be able to delete these during scheduling.) Select Next.
  8. For Student IDs, drag and drop or browse to the .CSV file you just created. Select Next.
  9. On Confirm and Pre-Load, verify your items and add a description to serve as a change log for yourself and others. Select Pre-Load.
  10. Back on the Pre-Loader status table, verify that the Status of your pre-load is Completed

Tip: If you see a problem, select Undo Pre-Load to reverse the changes.
