Enrollment Optimization

The Enrollment Optimization (EO) engine lets you manipulate the order in which schedules are displayed in the View Schedule page, to help you fill specific sections. 

How it works: The neutral (default) weighting for a section’s Priority is 5. A higher priority will up-rank any schedules that include that specific section, so students will see them first in the Generate Schedules pane and be more likely to pick them. A lower number will down-rank those schedules, so they appear later in the list, making it less likely that the student will see and choose them.

To access the EO tool, log into the Administration portal as an Admin user, and use the Advanced menu.

Promoting Certain Sections

By tracking which course sections are filling slowly and then increasing their priority in the ordering of possible schedules, you can boost the likelihood that your students will enroll in them.

  1. Select the Enrollment Optimization Engine link.
  2. On the Search tab, select a Term, Subject, and one or more Courses
  3. Click Add Selected Courses.
  4. Review the data displayed in the EO Data pane.
  5. Neutral priority defaults to 5. In the Priority column, set a new priority for each section as needed. 
    • Increase the number (6, 7, …) to promote schedules that include that section (which makes them appear earlier in the Generate Schedules pane). 
    • Decrease the number (4, 3, ….) to demote schedules that include that schedule.
  6. In the course pane, set the checkmark of courses you would like to save. 

Tip: Saving the view keeps you from having to conduct the Search again to see these courses.

Refer to the fill percentage column to determine if you should change the priority. Promote the section by increasing the priority number or Demote the section by decreasing the priority number.

Saving and Sharing Views

After you save a view, you have the option to share it with other users. 

  1. In the course pane, check the boxes of the courses that you would like to save.
  2. Select Save View, at right.
    After you do this, you can return to this view at any time by selecting the My Saved Views tab.
  3. To publish your view, select Share View, at right, and make your selections for who may see it.
  4. After you do this, you can manage your shared views at any time by selecting the All Shared Views tab.

Setting EO Permissions

To make sure that users are optimizing enrollment only for courses within their area of responsibility (a campus or a department), you can set special permissions. 

  1. Select the Permissions tab.
  2. Click Edit Permissions.
  3. Choose a user from the drop-down menu.
  4. Restrict access to subjects and campuses for the chosen user by selecting them with check boxes and choosing Disable.
